Job Overview
Position: Work Permit and Visa assistant
Department: Expat Personnel Office (HR)
Purpose: To provide assistance with the administrative tasks in the Expat Personnel Office focused on work permit, visa and other paperwork, personnel database maintenance, and other office tasks as required.
Responsible to: Expat Personnel Manager
Responsibilities:
- Maintaining the information in the personnel database and assuring its accuracy
- Providing reports from the database upon request
- Preparing work permit and visa applications as well and other government applications
- Assisting SIL Members and others working with SIL who have queries regarding their paperwork or passports.
- Cross-train on other ExPO office tasks, including the Insite Information system
- Communicate clearly and courteously with members and sending organisations via email, phone, and in person
- Maintain, organize, and protect confidential information, both hardcopy and electronic
- Gain and maintain a thorough understanding of government requirements and procedures for lodging and processing of documents even as these periodically change
- Other office tasks as required.
Qualifications:
- A University Degree is preferred but not required. Some experience doing similar work is required. Preference is given to someone with extensive experience living in a English-speaking country, working where English was the primary language, or who has attended a school taught in English.
- Must have excellent communication skills in English-both written and verbal
- Must have the ability to compose letters and emails that communicates well to PNG audience as well as to people in other countries
- Possesses critical thinking skills
- Possesses advanced computer skills and especially to be proficient in word for Windows, Excel, Access. Must be able to use Internet Explorer or another web browser.
- Having experience in communicating with speakers as a second language.
