Responsibilities

 The Manager position requires on island management and coordination of all operations related to Broad Leaf Villas for visitors.

These responsibilities include, but may not be limited to:

  • Reservations
  • Guest Services
  • Housekeeping
  • Property presentation and upkeep
  • Marketing and Communications
  • Other management activities

The Manager position brings together all these elements to effectively and efficiently manage the operations of the business.

Generally, these responsibilities include, but are not limited to:

Customer Service

  • Guest Services
  • Customer Feedback and Complaints

Customer Service responsibilities generally include, but are not limited to:

  • Oversee the presentation of the villas and property
  • Ensure villas are presented and prepared for guest arrival
  • Check in & out guests at Broad Leaf Villas in their villas
  • Purchase and organise local welcome packs
  • Guest relations
  • Being the main BLV contact for guests & reservations (BLV mobile phone 24 hours per day 7 days per week)
  • Liaise with local operators
  • Organise and host media and trade famils
  • Organise short-term tenant requirements (administration, inspections etc) as req
  • Manager customer feedback
  • Applying all aspects of the Customer Service Procedure.

Reservations

Reservations responsibilities generally include, but are not limited to:

  • Manage info@broadleafvillas.com email account
  • Maximise conversion of all reservation enquiries – phone & email
  • Manage the channel manager booking system
  • Manage OTA (third party) websites
  • Develop and liaise with key stakeholders on monthly arrivals and departures
  • Applying all aspects of the Reservations Procedure.

Marketing/Communications

Marketing responsibilities generally include, but are not limited to:

  • Manage marketing@broadleafvillas.com email account
  • Develop and distribute annual rates in collaboration with owners
  • Manage wholesale contracts and specials
  • Update Broad Leaf Villas website and OTA websites as required
  • Develop specials during quiet periods in collaboration with key partners
  • Manage sponsorship and PR opportunities
  • Social media marketing (with support of additional marketing resources)
  • Work in collaboration with social media contractor
  • Applying all aspects of the Marketing Procedure.

Housekeeping

Housekeeping responsibilities generally include, but are not limited to:

  • Housekeeping as required
  • Managing additional house keeping staff
  • Control of stock, linen and guest supplies
  • Co-ordinate weekly cleaning schedules, and periodic deep cleans
  • Complete car detailing
  • Complete laundry (washing and pressing all linen)
  • Complete Villa and laundry cleaning (inside and outside)
  • Applying all aspects of the Housekeeping Procedure.

Property presentations and maintenance

Maintenance responsibilities generally include, but are not limited to:

  • Perform weekly maintenance checks, and coordinate periods maintenance checks
  • Complete check out maintenance form
  • Coordinate required maintenance activities with maintenance staff
  • Ensuring all aspects of the Maintenance Procedure are applied.

Management

  • Manage and train staff and contractors
  • Manage application of policies and procedures
  • Monthly reporting to the owners
  • Manage manager@broadleafvillas.com
  • Manage and signing off on timesheets
  • Support strategy development and implementation
  • Manage the operational performance of the business
  • Ensuring documents, reporting, and internal communications are managed in Office365 and the Broad Leaf Sharepont site

Other general expectations of the role

  • Be responsible for the overall presentation and performance of the property
  • Be the Broad Leaf contact for all on-island and off-island enquiries
  • Manage suppliers, contractors and casual staff
  • Proactively promote the Villas on and off-island
  • Broad Leaf Villas uniform at all times on the property, with professional presentation
  • Friendly and helpful to guests, engaging with their experience at Broad Leaf Vilas and on Norfolk Island and offering suggestions for their stay
  • Carry the Broad Leaf Villas phone at all times
  • Check Broad Leaf emails daily and respond to emails within 24 hours
  • Responding to adhoc guest requests as soon as they arise i.e. to be the person responsible to attend to guests if needed, even if outside normal working hours
  • Ensure check-in and check-out paperwork is correctly completed and returned to Norfolk Business Solutions
  • Encourage guests to complete feedback forms and suggest writing a review on Trip Advisor
  • Ensure guest rooms are well presented to receive guests and rectify if necessary
  • Ensuring Broad Leaf Villas operates in a COVID Safe manner,
