Job Overview

Key Responsibilities

  • Support the CEO primarily and provide additional support to Executive Team, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Maintain and refine internal processes that support Executives companywide, and coordinate internal and external resources to expedite workflows
  • Serve as a liaison to the Board Members and maintain discretion and confidentiality with all Board Members
  • Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Manage communication with employees by liaising with internal and external Executives on various projects and tasks
  • Plan and orchestrate work to ensure that Executives priorities are met, organizational goals are achieved, and best practices are upheld
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to Executives
  • Manage Executive’s travel logistics and activities, including accommodations
  • Provide administrative and office support, such as typing and maintenance of filing system and contacts database
  • Maintain professionalism and strict confidentiality with all materials
  • Organize team communications and plan events, both internal and off-site

 

Requirements

  • Degree in Business Administration or related discipline
  • Five or more years of experience in an administrative role reporting directly to Executive management
  • Ability to maintain confidentiality of information related to the company and its employees
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Excellent written and verbal communication skills
  • Flexible team player, willing to adapt to changes
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint);
  • Strong interpersonal skill and ability to connect with people
  • Experience in similar position or related field and/or driving license would be an added advantage
