Job Overview
Key Responsibilities
- Support the CEO primarily and provide additional support to Executive Team, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
- Maintain and refine internal processes that support Executives companywide, and coordinate internal and external resources to expedite workflows
- Serve as a liaison to the Board Members and maintain discretion and confidentiality with all Board Members
- Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
- Manage communication with employees by liaising with internal and external Executives on various projects and tasks
- Plan and orchestrate work to ensure that Executives priorities are met, organizational goals are achieved, and best practices are upheld
- Coordinate complex scheduling and calendar management, as well as content and flow of information to Executives
- Manage Executive’s travel logistics and activities, including accommodations
- Provide administrative and office support, such as typing and maintenance of filing system and contacts database
- Maintain professionalism and strict confidentiality with all materials
- Organize team communications and plan events, both internal and off-site
Requirements
- Degree in Business Administration or related discipline
- Five or more years of experience in an administrative role reporting directly to Executive management
- Ability to maintain confidentiality of information related to the company and its employees
- Experience in managing multiple priorities, administrative coordination, and logistics
- Excellent written and verbal communication skills
- Flexible team player, willing to adapt to changes
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint);
- Strong interpersonal skill and ability to connect with people
- Experience in similar position or related field and/or driving license would be an added advantage
