We are currently recruiting for an experienced Administration Coordinator for an Australian Client of ours. About the position:

Working from Fiji with ALA’s Australian-based Pacific Labour Coordinators and our Pacific Labour Manager, you will follow robust processes for candidate screening, mobilisation, briefing and in-Australia management systems that meet and exceed all of the PALM scheme’s guidelines and standards. Your duties will include, but not be limited to:

Key Responsibilities:

  • Assisting with screen and select Pacific workers in consultation with the Labour Sending Units of participating Pacific countries.
  • Provide logistical and administrative support to mobilisation activities including procuring tickets, and bus transfers, health insurance, vehicles, and quality accommodation for the Pacific workers.
  • Apply for visas and manage the status of visa applications.
  • Apply for Australian Tax File numbers, and Passenger Departure Declarations.
  • Conduct Safety Inductions and chase up candidates who have not completed these inductions.
  • Maintaining spreadsheets of worker data for each intake.
  • Monitoring validity of visas and passports.
  • Providing remote support with induction training activities including ensuring that record-keeping meets compliance responsibilities.
  • Liaise with DFAT/PLF and DESE/SWP for recruitment and accommodation plans.
  • Support the Worker Welfare Team as required to complete incident reports.
  • Managing Agri Labour Australia’s Driver Compliance Program.
  • Maintain PALM Complaints Register (Deed requirement).
  • Maintain PALM Fraud Register (Deed requirement).

The successful applicant must :

  • Have Attention to detail
  • Excellent Microsoft Excel skills and can quickly learn to use in-house software.
  • Maintaining spreadsheets or updating databases.
  • Can work unsupervised and show initiative.
  • Some knowledge of Australian geography.
  • Cultural sensitivity and have communication skills that can be applied to Australians and Pacific Islanders from outside Fiji.
  • Understands privacy and confidentiality issues.
  • Enjoys working with other cultures such as Australians and those from other Pacific countries.
  • Driven to benefit clients through the provision of a productive workforce, and to benefit our Pacific workers and their families at home.
  • Can-do attitude!
  • Excellent written and verbal communication skills
  • The ability to be proactive
  • Great tech skills – be comfortable around technology to pick up new systems where necessary

Qualifications and Experience

  • Diploma or Degree in Business Administration or Management
  • Previous Coordinator or Administration experience
  • Compliance oriented

  • The role is full-time with the potential for overtime. We require demonstrated reliability and flexibility in working hours. Immediate start required.
