Weddings & Functions Coordinator
First Landing Beach Resort & Villas, a boutique resort at Vuda Point comprising 62 keys and a busy restaurant, is seeking a motivated, detail-oriented individual to fill the position of Weddings & Functions Coordinator
Position Summary:
Weddings & Functions Coordinator is responsible for planning, coordinating, and executing all events, functions, weddings and conferences held at the resort. This role ensures seamless communication between clients and internal departments, delivering high-quality service and memorable experiences while maximising revenue opportunities. The Wedding and Functions Coordinator reports to the Resort Sales & Marketing Manager.
Key Responsibilities:
Event Planning & Coordination
- Act as the primary contact for clients regarding event details, requirements, and expectations.
- Prepare event proposals, quotations, and contracts in line with company policies including accommodation requirements.
- Coordinate with clients on event requirements including catering, décor, entertainment, and audiovisual needs.
- Prepare and distribute function sheets/event orders to all relevant departments.
- Oversee event setup to ensure it matches client specifications and venue standards.
- Conduct site inspections and venue showings with prospective clients.
- Provide professional advice and recommendations to clients on menus, themes, and layout.
- Ensure a high level of client satisfaction before, during, and after events.
- Follow up with clients post-event to gather feedback and encourage repeat booking
- Liaise with the kitchen, housekeeping, front office, and service staff to ensure smooth event delivery. Works closely with resort Food & Beverage, Maintenance, Grounds, Purchasing, Front Office and Reservations Departments,
- Oversee1event execution and troubleshoot any issues on the day. Works closely with Food & Beverage Department during the event execution.
- Manage event timelines, ensuring all tasks are delivered on time.
- Maintain accurate records of bookings, payments, and client communications.
- Provide regular reports on event performance, revenue, and client feedback to management.
Skills & Qualifications:\
- Proven experience in event coordination, hospitality, or a similar role.
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in MS Office and event management software (if applicable).
- Ability to work under pressure and manage multiple events simultaneously.
- Attention to detail and creative problem-solving skills.
- Knowledge of Room Master Reservations and Point of Sale systems
- Ability to multitask across various areas, including reservations and reception, as required.
