Travel Solutions Vanuatu (TSV) is Vanuatu's first dedicated Destination Management Company (DMC) with a focus on leisure travel, FITs and inbound groups.  Our aim it is to connect Vanuatu to new markets around the world to assist grow the industry, disperse tourists around the outer islands, and promote sustainability and quality in the Vanuatu tourism industry.

Key Tasks

1. Respond to quotation requests, design itineraries and prepare quotations using TSV software
2. Review and approve quotations prepared by other TSV staff
3. Ensure that all Booking Logs are accurate, completed and reservations made with suppliers
4. Review and send out Travel Vouchers to customers and suppliers
5. Keep the software up to date with correct product descriptions, prices etc
6. Manage the Lead Log for all potential customers and work with the Managing Director to allocate tasks among other sales staff
7. Prepare invoices for confirmed bookings using XERO software and ensure timely payment
8. Calculate customer refunds when due and submit for processing
9. Prepare group/ tier priced group quotations
10. Ensure suppliers complete appropriate paperwork to maintain registration with TSV as a supplier
11. Other sales and administrative duties as directed.

This position can be undertaken remotely from your home base, or, for Vanuatu citizens and residents, from our office in Port Vila.

• TSV will provide training on the TSV and Xero software, Vanuatu tourism industry and supplier product features
• After 18 months (for remote workers, subject to performance and continued interest in the position), TSV will organise and pay for a 7-10 day familiarisation visit to Vanuatu. This can be repeated in future years also.

1. All quotations sent out within 48 working hours
2. All Booking Logs, Travel Vouchers and other paperwork completed in a timely manner
3. TSV software accurate and up-to-date
4. Lead Log 100% accurate and up-to-date
5. Invoices accurate and paid on time
6. Refunds accurate
7. All supplier compliance requirements met
8. All tasks delivered with a high levels of customer service.

Competencies

1. Excellent English
2. Strong IT & computer literacy
3. Excellent customer service
4. Experience in tourism sales and reservations
5. An interest in developing Vanuatu’s tourism industry.
