We are looking for a dedicated and proactive Human Resource (HR) Officer to join our dynamic team and play a key role to assist the HR Manager in providing HR management services for the Ministry through an efficient and effective implementation of sound polices, practices and processes.
Duties and Responsibilities:
- Maintain secure and accurate filing of all HR related files (structures, recruitment, leave, salary, Job Descriptions and personnel files) for all employees of the Ministry
- Assist with preparation of all necessary documentation and approvals relating to the recruitment activities of the Ministry, including financial visas, job advertisements, panel formation, travel arrangements and acknowledging receipt of applications and notification
- Calculate and process all salary, allowance claim forms accurately with reports to HRM
- Maintain weekly contact with Department of Finance Payroll Section Staff to ensure staff salary issues are dealt with promptly
- Efficient updating of the Establishment List of MALFB once every month to include new recruitments, increments and changes in position status
- Process leaves application forms by entering the data in the HRMIS leave management system approval by appropriate delegate and maintain an updated record of all employee leave
- Assist with preparation for regular PMR interviews and reports
- Any other duties as reasonably requested by the HR Manager
Essential Criteria:
- Diploma in Human Resource, Business Administration, or related field
- Minimum of 2+ experience in an HR role preferred
- Highly organized with attention to detail
- Excellent communication and interpersonal skills
- Demonstrated capacity to prepare memos and letters for submissions
- Have good office management skills
- Ability to understand government legislation in relation to Human Resources
- Proficiency in MS Office and HRMIS Systems
- Able to cope with all kinds of different client personalities and traits
- Be punctual, honest, supportive, committed, and be able to handle work pressure
