Job Description & Skills/Qualifications Required

Vuvale Outsourcing in Suva is seeking a highly organized and proactive HR Attache to provide comprehensive administrative support to our Senior Human Resource Officer. The successful candidate will play a critical role in ensuring the smooth functioning of these departments by managing day-to-day administrative tasks, coordinating communications, and assisting with various projects. This role requires exceptional multitasking abilities, strong communication skills, and a keen attention to detail.

In Fiji, we operate a professional purpose-fitted work environment in Nabua, Suva, with local Human Resources management. You will be a part of the 50+ strong Vuvale team, but also part of an overall international team.

DETAILS:
Location: Suva, Fiji
Basis: Attachment
Roster: Monday to Friday - approx. 9.30am – 6.30pm

Key Responsibilities

Human Resources Support:

  • Assist with recruitment, including scheduling interviews and maintaining candidate records and conducting reference checks.
  • Assist with maintaining Human Resource documentation, including personnel files, benefits information, and training records.
  • Assist in organizing employee engagement initiatives and company-wide events.
  • Assist in creating artwork for staff anniversaries, birthdays, staff biographies and other company events.
  • Support Human Resources in maintaining compliance with policies and regulations.
  • Assist in onboarding the new hires, allowing for smooth integration.
  • Assist in the off-boarding process and procedures.
  • Other duties as needed to fulfill the role.

General Administrative Tasks:

  • Answer and direct phone calls, emails, and inquiries to appropriate personnel.
  • Prepare and edit correspondence, memos, and reports as needed.
  • Handle incoming and outgoing mail and packages.
  • Maintain an organized filing system for both electronic and physical documents.
  • Running errands as needed for the Management team.
  • Other duties as needed to fulfill the role.

Requirements

  • Some proven experience as an administrative assistant or in a similar role.
  • Currently pursuing HR related studies are encouraged to apply.

Skills:

  • Strong attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to handle confidential information with discretion.
  • Adaptability and ability to thrive in a fast-paced environment.
  • Basic familiarity with Human Resource processes and financial terminology.
