VACANCY
HR ASSISTANT

Vodafone Vanuatu is seeking a HR Assistant to be based in Port Vila.

Mission
The HR Assistant will play a crucial role in supporting the Human Resources department in various administrative and operational tasks. This position will be responsible for providing efficient Human Resources services to employees and ensuring compliance with relevant Human Resources policies and procedures.

Key Responsibilities
1. Recruitment and Onboarding:

  • Assist in the recruitment process, including posting job advertisements, screening resumes, and scheduling interviews.
  • Coordinate onboarding activities for new hires, including paperwork, orientation, and benefits enrolment.

2. Employee Records Management:

  • Maintain accurate and up-to-date employee records, including personnel files, time and attendance records, and leave requests.
  • Ensure compliance with data privacy regulations and maintain confidentiality of employee
    information.

3. Payroll Support:

  • Assist in the payroll process by collecting time sheets, calculating wages, and processing deductions.
  • Ensure accurate and timely payment of salaries.
  • Prepare VNPF contribution payments.
  • Keep accurate report on Annual and Sick leave.

4. HR Policy Implementation:

  • Assist in the development and implementation of HR policies and procedures.
  • Advise employees on HR policies and procedures.

5. General HR Support:

  • Provide administrative support to the HR department, including scheduling meetings, preparing reports, and handling correspondence.
  • Process LPO requests.
  • Manage work and residency permits for expatriate staff.
  • Organize medical appointments and manage claims.
  • Organise Staff travel and accommodation within Vanuatu.
  • Assist with various HR projects and initiatives as needed.

Qualifications and Skills

  • Bachelor’s degree in human resources management or a related field.
  • Minimum of 1-2 years of experience in HR administration.
  • Excellent interpersonal skills and ability to interact professionally with individuals at all levels.
  • Strong communication skills in English, both verbally and in writing.
  • Ability to follow instructions and policies.
  • Good analytical and judgment skills to identify and resolve problems.
  • Exceptional time management and quality control skills with attention to detail.
  • A strict high level of confidentiality required with a commitment to protecting sensitive information.
  • Strong computer skills, with proven experience in Word, Excel, and Outlook.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Knowledge of relevant labor laws and regulations.
