Flight Operations Administration Assistant

Reporting to the Manager Flight Ops Turboprop Operations & Chief Pilot. The purpose of role is to maintain all Flight Operations records as required by various documents and agreements and perform related administration duties within the Flight Operations Department to ensure that end users deliver the Company's operational flights in accordance with required standards.

KEY RESPONSIBILITIES

  • Provide administrative support to MFOT & CP, and Fleet Captains.
  • Manage and secure simulator block bookings for each month and forward future bookings to Rostering.
  • Ensure that leave, ground training (initial and recurrent), and duty travel are scheduled as required.
  • Arrange duty travel expenses and process claims for Tech & Cabin Crew.
  • Monitor daily roster updates and adjustments related to training.
  • Validate AIMS expiry dates ahead of time to ensure compliance.
  • Send expiry reminders to Tech and Cabin Crew on a weekly and monthly basis.
  • Establish early communication with Pilots scheduled for annual leave in the upcoming roster period.
  • Verify and process reimbursement claims for Pilots and Cabin Crew.
  • Order and issue office and outstation supply via ARM.
  • Facilitate ground training sessions and manage training aid usage.
  • Order, record, and distribute pilot and cabin crew uniforms and accessories.
  • Obtain and maintain copies of validated pilot licenses and check reports.
  • Update pilot information in AIMS daily.
  • Ensure timely filing of pilot check and training reports, maintaining a two-year historical record.
  • Efficiently manage and process all invoices related to flight operations.
  • Liaise with FJ expenditure team regarding payment-related inquiries.
  • Maintain and manage the Flight Operations Department's Smart Sheet, ARM and ERO platform.
  • Maintain and manage all Tech and Cabin Crew files (current and personal records).
  • Coordinate with CAAF for TRE and Instructor Approvals.
  • Verify Tech Crew logbooks.
  • Oversee the administration of Electronic Flight Bag (EFB) systems.
  • Set up AIMS and Pelesys accounts for newly hired flight crew members.
  • Assist in the recruitment process for non-national pilots which includes work permit application/renewal and CAAF regulatory requirements.
  • Coordinate travel logistics for flight crew members.

QUALIFICATIONS, SKILLS & EXPERIENCE

  • Diploma in Business Office Administration or relevant qualification
  • Self-starter
  • Ability to work with minimum supervision
  • At least 3-5 years relevant work experience
  • Proficient in Microsoft Office (excel, word & power point)
  • Must possess a pleasant personality
