Summary
Position: Academic Registration Administrator
Placement: Administration
Duration: A term of 3-years, renewable.
Strategic goal: Develop and monitor the university’s annual registration process, enrollment process, toloa (students) orientation, and academic records keeping systems, and to ensure that an orientation and registration environment, characterised the ‘vakamaraqeti nai yau bula’[1] philosophy, is experienced by the toloa, facilitators of learning, and staff. This a key unique feature of the university’s orientation and registration systems, and an attractive element to national, regional and international toloa, partners and sponsors.
Key Tasks
a) Develop an online academic registration system for the University.
b) Responsible for the university enrolment process, including enrolment reminders to churches, stakeholders, and partners, and ensure enrolment is promoted on media before every semester.
c) Review the current registration policies and procedures and compile a comprehensive policy document that includes all orientation and registration policy requirements in the light of the University vision and the ‘vakamaraqeti na i yau bula’ philosophy.
d) Develop a Quality Assurance Systems and process to monitor the performance and work of the FOL in relation to their KPIs, research capacity, and promotional possibilities, and in consultation with the Monitoring, Evaluation and Learning process.
e) Develop and implement an appropriate but comprehensive orientation system and programme for toloa (students) registration for the university and organize all annual academic orientations.
f) Responsible for producing a training package for staff, facilitators of learning, and toloa on the orientation and registration process and procedures.
g) Contribute to and help develop a QMS Handbook, from the policy framework to planning, implementation and monitoring. This includes assisting the Koi’mata-kiki (Academic Dean) in accreditation processes (e.g. QMS) and compiling and collating of academic policies in coherence with QMS requirements.
h) Assist in the registration of all university programmes with national and international accreditation authorities.
i) Develop and maintain toloa (students) database of all university toloa (past and present) information. This include keeping and safeguarding confidential records regarding the toloa records – certificates, transcripts, and other registration details and sensitive matters.
j) Prepare academic timetables and semester plans for all courses, ensure classrooms are cleaned and distributed accordingly to courses offered, and responsible for all university equipment used in each classroom or any academic platform.
k) Responsible for producing academic brochures and other marketing catalogues to promote university academic programmes.
l) Conduct annual scans of the needs and issues pertaining to the university’s orientation and registration systems and processes and produce annual reports on these to the Academic Dean with recommendations as appropriate for consideration, including monthly reports to the Management Kilaak, and quarterly reports to the Uli (Executive Board) if required.
m) Manage and coordinate the work and meetings of the Academic Dean.
n) Responsible for organising the Pou Tu’uloto (Academic Board) meetings, prepare agenda in collaboration with the Koimata-kiki and Manu Folau, and recording and reporting of meeting proceedings.
o) Complete monthly reports on toloa data and statistical analytics to the Data Hub management unit of the university.
p) Perform any other task required by the Manu Folau.
q) Reports to the Academic Dean.
Minimum Requirement of Qualification and Experience:
a) A Bachelor’s degree in education administration and management, or a related field from a reputable educational institution. Preferably a Postgraduate degree in Education or related field or Masters is required.
b) Minimum five (5) years proven experience in the management of similar roles.
c) Minimum five (5) years working in education management level.
d) Excellent English writing skills and reporting.
e) Fair knowledge of statistics and data management
f) Strong knowledge of education and registration policies and best practices.
g) Experience in developing and executing registration strategies aligned with institutional or organizational goals.
h) Excellent communication skills, interpersonal and leadership skills.
i) Ability to handle sensitive and confidential information with discretion.
j) Strong problem-solving skills and the ability to work independently
k) Preferred skills: Experience and knowledgeable with toloa (students) registration systems, and familiar with diversity and inclusion initiatives

Probationary period:
A six (6) months probationary period applies, and it includes the candidate’s completion of a community cultural immersion programme and the Leadership and Diplomacy training. A ‘staff competency assessment’ will take place before the six (6) months is over to determine the confirmation of position.
Salary: $25,007.94 Fiji dollars per annum.
