Transport Coordinator
The Transport Coordinator is responsible for managing the movement of people and vehicles across various locations, working closely with the Manager Transport to oversee transportation planning, including scheduling, routing, and vehicle maintenance.
This role ensures transportation operations comply with Land Transport Authority (LTA) regulations, including the coordination of driver training, validation of licenses and insurance, and promoting a culture of safety and compliance. The coordinator may also be required to conduct safety training sessions as needed.
KEY RESPONSIBILITIES

Prepare daily transportation schedules and shift reports, ensuring accurate data entry and documentation.

Compile and review total transfers per shift, coordinating with the department manager to plan dispatch allocations across all sections, including third-party providers where required.

Centralize transport coordination, prioritizing internal resources for all transfers, and seek department manager approval before engaging external providers.

Coordinate closely with OCC to manage variable flight arrivals and arrange timely crew (cabin and tech) drop-offs.

Communicate key information to drivers using various communication tools and platforms.

Act as the first point of contact for drivers, providing clear instructions and support both face-to-face and via other communication channels.

Pre-plan and schedule vehicle maintenance slots, ensuring operational readiness.

Perform general administrative duties as required to support the operational team.

Research and plan routes to mitigate traffic, construction, and weather-related delays, using navigation applications to determine optimal routing.

Immediately report any major incidents or accidents to the Manager Transport.

Conduct regular feedback and coaching sessions with staff to support performance and development.

Ensure vehicles, facilities, and tools are maintained in line with manufacturer recommendations and cleanliness standards.

Monitor and maintain minimum spare parts inventory levels.

Keep accurate mileage and repair records for all vehicles.

Track and maintain wheel tax certificates and ensure timely renewal of driver licenses within the company's fleet.

Perform any other duties as assigned by the Manager Transport.
QUALIFICATIONS & EXPERIENCE

Tertiary level education in Business Administration
-
Valid driving license required
-
3 years' experience in a similar role

Previous experience with transportation management

Extensive knowledge of operating areas

Excellent organizational and time management skills

Exceptional interpersonal skills

Good verbal communication

Competent Windows/Microsoft user

Ability to multi task

Proficiency using GPS devices
