Context:
Under the overall supervision of the Head of Office in Vanuatu and direct supervision of theHead of Resources Management, the successful candidate will be responsible and accountable for providing driving/messenger support and other duties associated with the driving of IOM vehicles, as well as supporting basic admin, logistics and procurement functions.
Core Functions / Responsibilities:
- Drive IOM vehicle(s) and transport authorized personnel and others as requested by the supervisor.
- Manage the day-to-day maintenance of the assigned vehicle(s) to ensure roadworthiness of the vehicles. This includes daily check of tires, brakes, engine oil, fan belt, etc.
- Arrange for minor repairs and ensures that the vehicles are kept clean.
- Ensure that the vehicles undertake regular service intervals.
- Keep records of spare parts for vehicle(s) and conduct monthly inventory of the spare parts.
- Find the most direct and safe route over the best available roads to the destination.
- Maintain vehicle logbook; make sure that the daily log sheet is prepared, and a monthly report is prepared summarizing statistics linked to mileage, fuel consumption, etc. for the vehicle.
- Meet officials at the airport and assist with immigration and customs formalities.
- Collect and deliver mail, pouch, documents and other items.
- Support the collection of quotations and invoices, as well as vendor information and supporting documentation for the procurement of goods and services.
- Support regular verification and stocktaking of assets.
- Ensure that IOM vehicle(s) are used only for official/authorized business as advised by the Head of Office.
- Keep absolute confidentiality and discreteness in discussions which involve IOM and its officials.
- When needed, assist the country office staff in performing simple clerical duties such as making and answering telephone calls, making photocopies, keeping records, etc.
- Other duties as may be assigned by supervisor.
Required Qualifications and Experience
Education
- High school degree/certificate with minimum 2 years of relevant working experience or Bachelor’s Degree from an accredited institution.
- Valid national driver’s licence.
Experience
- Knowledge of driving rules and regulations;
- Experience in driving a variety of makes and models of vehicles;
- Work experience with international humanitarian organizations, non-government organization in a multi-cultural setting is an advantage.
Skills
- Basic knowledge of English;
- Basic computer skills;
- Basic knowledge on vehicle maintenance and troubleshooting capabilities;
- Financial literacy skills;
- Ability to drive four-wheel drive vehicle with license.
Languages
Fluency in English and Bislama is required.

Appointment will be subject to certification that the candidate is medically fit for appointment and verification of residency, visa and authorizations by the concerned Government, where applicable.

A prerequisite for taking up the position is legal residency in the country of the duty station and work permit, as applicable.
